1Intake

A job card in two minutes, with the IMEI, the photos and the slip.

Type the phone number and the Scan chip reads the IMEI from *#06#, the serial from the rating plate or the number plate; the device comes back with its earlier jobs. Tick the intake checklist (eight points for a phone, ten for a vehicle with the walk-around, six for an appliance), take condition photos, note the SIM, case and charger, and print the job slip and the 50 by 30 label that goes on the device.

2Diagnosis fee

Charge the diagnosis at intake. Credit it the moment the estimate is approved.

Water damage and board work carry a diagnosis fee (UGX 20,000 by default, UGX 60,000 for a vehicle scan, UGX 40,000 for an appliance call-out). It is charged at intake and credited to the job automatically when the customer approves; if they decline or the device goes back unrepaired, the fee stays as income. The job card's timeline shows the fee, the credit, the deposit held and every message sent.

3Approval on WhatsApp

The estimate goes to the customer's phone. They tap Approve.

A signed link opens what the technician found, the photos, and the estimate with the part quality options (original, OEM copy or generic) and the total updating as they switch. Approve, Decline or Ask a question is recorded with who, when and the channel. When the garage finds the bushes are gone as well, a supplementary approval goes to the same page. At the counter, the customer signs on the tablet instead.

4Parts, deposits and the board

From stock, bought at Kisekka, or brought in by the customer.

Three kinds of part line: from stock (an ordinary stock sale with live availability), bought for the job (a Kit purchase against the supplier once the deposit is in) and customer supplies (zero price, noted on the slip and the warranty). A deposit is required when a part is bought for the job and held as a customer advance until the invoice. The technician board shows every job by status with its deposit, its part and its promise.

5Pickup and warranty

Collect checks the person, tests the device, takes the balance and prints the warranty card.

The invoice is issued at Ready from the approved estimate as an ordinary Kit sale, so the customer sees the final bill before coming in: one fiscal receipt per job, the deposit applied, the balance in cash, mobile money, card or Kit Pay. Status messages go out at Received, Estimate ready, Ready and Collected by WhatsApp, SMS where there is no WhatsApp. Warranty is 30 days on the part and the workmanship; a claim re-opens the job at zero charge. Uncollected devices get reminders at 30 and 60 days and may be disposed of after 90, as printed on the slip.

6Reports

Nine reports from one read model: jobs by device type, parts margin and where the parts were bought, turnaround and promises kept, deposits held and balances due, uncollected devices. Labour, parts, diagnosis fees and deposits post to their own accounts in Kit Accounting, which is free, and Kit AI answers 'which technician brought in the most labour this month?' from the same numbers.

Questions repair shop owners ask us.

Do I have to charge a diagnosis fee?
No. It is a setting per business and per job. When you do, the default is UGX 20,000 (UGX 60,000 for a vehicle scan, UGX 40,000 for an appliance call-out), charged at intake and credited to the job automatically when the estimate is approved. If the customer declines or the device goes back unrepaired, the fee stays as income.
What happens when the customer brings their own part?
Add it as a customer-supplied line at zero price. It is not invoiced; the job slip and the warranty record that the part was supplied by the customer, so the warranty covers the workmanship only and nobody argues at pickup.
How do deposits work?
A deposit is required when the estimate has a part bought for the job (by default the full price of that part, editable) and optional otherwise. It is held as a customer advance on the Repair deposits account until the invoice is issued at Ready, then applied to the balance at pickup. Deposits held and balances due are two reports, and Kit AI can read them.
What is the warranty, and what happens with a claim?
Thirty days on the part and the workmanship from the day of collection, excluding liquid and physical damage; set it to 0, 60 or 90 days per job. A claim re-opens the job as a linked card with the original lines at zero charge, so the margin report shows the true cost of the claim.
What about devices nobody collects?
Reminders go out at 30 and 60 days after Ready; after 90 days the shop may dispose of the device. The notice is printed on the intake slip and the Uncollected devices report lists them with the diagnosis fee kept.
Does the invoice go through the till?
Yes. The invoice is issued at Ready from the approved estimate as an ordinary Kit sale, one fiscal invoice per job for EFRIS with the deposit as a payment on it. Sales, tax and the customer ledger are the same reports as the rest of the business, and Accounting posts labour, parts, diagnosis and deposits to their own accounts.
Which plan fits repair shops?

Do the receipts work with URA EFRIS?
Yes. Kit is EFRIS-ready: fiscal receipts and invoices are issued from the till with the tax rates and groups you set up once.
What happens when the internet goes down?
Kit POS Desktop on the Windows till keeps selling, prints receipts and queues the sales; it syncs when the line is back and the office can see each till's sync debt.
Can I ask Kit AI about my numbers?
Yes. Included in every plan with a weekly token allowance; extra usage draws on your business credits. Answers use only your business's records and respect each user's role.
Can I import my products and customers?
Yes. The CSV importer brings in products, contacts, suppliers and opening stock; the guide walks through it in five minutes.
