Kit Pay use cases: collect, pay and reconcile inside Kit

Most payment tools solve one problem: getting paid. Kit Pay was built for the problem that comes straight after, which is knowing that you were paid, for which sale, and where the money went next. Here are the five jobs it does for a typical Ugandan business, with the detail of what is and is not included.

1. Mobile money on the till, without the second entry

The usual mobile money workflow has two steps that never quite agree: the customer pays the merchant code, and the cashier separately keys the sale as "MoMo". At month end someone compares the two lists.

With Kit Pay, the mobile money payment is collected on the till as part of the sale, so the receipt, the stock movement and the payment are one record. The Kit POS Sell page puts it plainly: mobile money through Kit Pay lands on the sale and in the books without a second entry. There is nothing to match later because nothing was recorded twice.

2. Split payments that still balance

Ugandan customers often pay part in cash and part by phone, or settle a balance on a credit sale with a MoMo transfer. Kit POS handles this with Multiple Pay, which splits one bill across cash, mobile money, card, bank, cheque and credit, with change due and balance due computed as you type. The mobile money portion goes through Kit Pay, the cash portion goes to the drawer, and the end-of-day report shows each tender separately, so the drawer count is compared with cash sales only.

3. Paying suppliers with an approval step

Collecting is half the money story. Kit Pay also sends money and payouts to suppliers with approvals, which matters in any business where the person who raises the payment is not the person who should authorise it. A branch manager can prepare the payout to a wholesaler; the owner approves it from the phone; the payment is recorded against the supplier balance in Kit POS Purchases and posts to the ledger.

This is also where the fee arithmetic favours staying digital. Cashing out mobile money to pay a supplier in notes attracts the agent fee and the 0.5% withdrawal duty on the MTN tariff table; paying the supplier from the business account avoids the cash step altogether.

4. Business accounts, standing orders and statements

Kit Pay provides business accounts with standing orders and statements. In practice that means the recurring payments a business forgets until they are late (rent, a monthly software subscription, a loan instalment) can be set once and reviewed, and the statement is available inside Kit next to the sales it relates to rather than on a separate portal.

5. Books that are already written

Kit Accounting is free in every plan and posts every sale, purchase and payment to the ledger automatically, with P&L, balance sheet, trial balance and ageing live. Because Kit Pay collections and payouts are Kit transactions, they are already in those books. The mobile money account shows what came in; the fees show as fees; the transfers to the bank show as transfers. The monthly reconciliation becomes a review rather than a reconstruction.

What it costs

Kit Pay is included in every plan and charged per transaction, with no monthly fee. The plan itself starts with Economy at UGX 268,000 a month for one location and five users, which lists Kit Pay (per transaction) alongside Kit POS, Kit Accounting and Kit AI with a weekly token allowance. Who it suits first

The businesses that get the most from Kit Pay on day one are the ones with the most mobile money traffic and the least time to reconcile it: retail shops, pharmacies, restaurants and bars, and any multi-branch business where the owner is not at the counter.
